Before an assembly team can bring material or staff into a hall, almost every Spanish trade fair venue requires health & safety documentation and liability insurance to be verified. This is, by far, the most common reason for last-minute delays — and it's avoided simply by arranging it in advance.
What's generally required
- Health & safety training certificate for the staff entering the venue.
- Risk assessment of the assembly activity to be carried out.
- Liability insurance for the fitting company, valid and with sufficient cover.
- At some venues, specific access accreditation for staff and delivery vehicles.
IFEMA Madrid
Manages documentation through its own trade fair accreditation platform. It usually requires documentation to be confirmed several days before assembly opens, especially for large fairs like FITUR (guide in Spanish).
Fira de Barcelona
Follows a similar prior-accreditation scheme, with particular attention to loading and unloading hours at its two venues (Montjuïc and Gran Via), which have slightly different access regulations from each other.
BEC Bilbao and Feria Valencia
Both require the same core documentation (health & safety and liability insurance), managed through their respective exhibitor platforms. Being smaller venues than IFEMA or Fira, confirmation deadlines tend to be somewhat more flexible, although it's not worth taking that for granted.
