There's no single price for building a stand: the cost depends on four factors that change from one fair to another — size, construction system, design and assembly deadlines. This guide explains each one so you know what to ask when requesting a quote.
The construction system is what weighs most on the price
A standard octanorm module or modular aluminium systems like Aluvision or Bematrix are the cheapest option: the structure is reusable, assembly is fast, and it doesn't require specialised carpentry labour. Custom woodwork, with bespoke shapes or double height, costs more because every piece is made for that specific design and assembly takes more hours.
Size doesn't scale linearly
A large stand doesn't cost twice as much as one half its size. Beyond a certain size, elements appear that don't exist in a small stand: storage, an enclosed meeting room, double height, multiple counters. Each of these elements is quoted separately.
Assembly deadlines also affect the cost
Trade fair venues assign a specific time window for assembly. If your design needs more hours than are available in normal working hours, you'll need to build in extended shifts or with more staff at once, which raises labour costs. This is especially relevant for custom woodwork systems (guide in Spanish) compared to modular ones.
What to always ask for in a quote
- That it includes assembly and dismantling, not just assembly.
- That it specifies whether the material (profiles, graphics, furniture) is included or supplied by your contractor.
- That it details the health & safety and insurance documentation included — without it, you can't bring material into the venue.
- That it states the assigned assembly time window and what happens if the design doesn't fit within it.
